Change Project Name

We use descriptive names for our projects. We often incorporate the type of service into the project name and if the service changes we change the project name. Unfortunately, if we change the name in 360, all previously linked emails are lost because they were linked to the previous project name. If we maintain the project name, it really loses its relevance because it has a name for a service that we are not providing to the customer. (i.e. As I was writing this I received a call from a printer that I need to create a Project Blog for. It is preliminary info…she thinks it is for 10,000 magazines and she doesn’t know the name of the mag yet. Current project name is “Printer Name 10M Mags” . It could very well turn out to be 30,000 or 5,000 Catalogues. If I maintain the current name, it holds no relevance the the actual project but if I change the name, I lose all my previously linked emails)

In Highrise, every Project has its own dropbox. All emails are directed to the dropbox so, if the Project Name changes, all of the previous emails stayed linked to the Project.

Any ideas?

I guess relinking each contact/company etc… is too much of a hassle to do for the time being?

Automatic relinking/update would be great, agreed.

Don’t worry guys, we thought of this. You can change the criteria for linking emails to Project Blogs, Contacts or Companies. Just hover over the linked emails you want to edit. Click on the edit button (square) and you’ll be able to see your options. We prefer to use a single dropbox because it gives more flexibility. Emails can be linked to many Contacts/Projects. Its like tags compared to folders.

I guess it will take a little getting used to. There are two issues with this process and I will mention them here and wait to see if anyone has any ideas.

1. Remembering the Project name. If I want to post an email to a project, I have to remember the name I have given it. With upwards of 100 projects going at any time, this is more than a little difficult. With a dropbox email address for the projects, I was able to type in the first couple of letters in my email client bcc: box and the most recent project names would drop down for me.

2. Trying to find an inconspicuous place to plant the project name in the email. This is not an issue if I FWD an email to the project, but when I am sending and email to a customer I have to include the project name in the email. Subject line? At the end of the message?...it there is a long thread then I have to scroll to the bottom. I really liked the process of hiding the project name (project dropbox) in the bcc: field which I guess I can still do except that I will receive a ton of “non-valid email” messages from the server. ACTUALLY I JUST TRIED THIS AND MY EMAIL CLIENT WONT LET ME INSERT SOMETHING INTO THE BCC: FIELD UNLESS IT IS IN EMAIL ADDRESS FORMAT SO THAT ISN’T AN OPTION ANYWAY.

Hi Stormer. It is often a good idea to make the project name something that you feel comfortable sharing with clients. That way you keep the door open to publishing the project to them. However, this would be a good opportunity to share some ideas and best practices that other have come up with, with regards to linking emails to projects.

Yes, I have been working at project names that make sense to the client as well. Not so much for publishing purposes as much as just for explaining what the “code” is that we have inserted into the email. Still doesn’t solve my bad memory issue grin.

Can you try using a project blog to make catalogue, index of all your project blogs? You’ll have to devise a way to sort them and make them easily accessible of course.

Why not add a line a space below your signature. Something like: “Project Title: Green Eggs and Ham”, or “client” or some other identifier? You’ll just have to be careful about your title, it has to be unique.

We are pretty good at keeping our project titles unique. They generally are “Company Name, 2 dozen Green eggs and 3 hams”. I need to figure out where the best place is to place the project name and I have pretty much figured out that under the signature is as good a place as any. Subject line works well, and in some cases better because most people seem to always click “Reply” so at least I can immediately see if the name is there rather than searching through the text. I’ll figure that out. Remembering the project names still is a bit of an issue. Not too bad for me…I have two screens going (usually mail on one, 360 on the other) so its easy to reference but for those that don’t, its a little more onerous.

Well, you can always use a dual system of naming. Both:

“Green eggs and ham” and “geh0014753” so you get absolute linkage.

Also, if you’re that worried about project names, why not go low tech and get a notebook and just write in there? Works, simple, and if used consistently, can work just as well.
