Creating a Real Estate Database

Got a question geared to real estate.  Being a commercial broker I have select properties that I concentrate my efforts on for sales, leasing and property management.  For sales, I could have a database of about 800 properties.  For leasing, about 500 and for property management about 250.  In my mind the property database should be a Project Blog where I can include all the details of the property, pictures, flyers, etc.  Then I would connect the current owner and current broker to the Project Blog.  Problem…currently using the Basic plan limits me to 50 blogs.  I thought of making each property a Contact, but am not sure this would be the best thing.  Property information doesn’t change, but ownership of the property does.  The second half of this is that I need to be able to export contact information in order to mail merge letters or possibly a MailChimp email campaign.  So, I need a way to search for the owners of a certain type of property and export.  I guess this is what Category Tags are for.  Any suggestions?

to answer the first part, you could make each property a Company, then relate all sorts of Contacts to the property such as the owners, any service providers, tenants etc.

second part: yes use category tags and tag the Contacts: ‘Owner of Property’ ‘Occupant of leased property’ ‘Supplier’ etc etc

then use a project blog if you need external people (ie not your staff who have access to solve) to have access to a specific project, such as ‘Roof repair at 123 Main St.’ and relate this project to the Company and Contact records for 123 Main St.

I made the properties a company.  This way I can tie a contact (property owner) to it and the contact can also be tied to an actual company.  With the property being a company I can upload photos, title info, etc. and track information specific to that property.  The best thing is that the property information will never change (the company).  Owners change - so I can just tie it to a new contact.
