New features: Gmail Gadget extended

Our team has been working behind the scene to enable some exciting new Google Apps features.  These tasks certainly tested us, but tenacity paid off because they are oh so useful.  You’ll continue to hear more about these soon, but for today we’re starting with a couple new features related to the Gmail Contextual Gadget.

1) When clicking “Add”, the First and Last names will be parsed from the email message and entered on the new contact record for you.  This sounds like a slam-dunk but this information was not previously available to the Gadget; we made some magic to make it so.

2) Now you’ll notice an “Archive to {workgroupName}” button beside the “Open” button.  When clicked the message will instantly be moved from Gmail to Solve360, where it will automatically link to contacts, companies and project blogs i.e. become part of the corporate memory.  The message will still be available under “All mail”.  No more need to forward emails to the workgroup folder!

You may have noticed other products have had a similar feature for a while.  What they don’t tell you is that they only capture the first 1,000 characters of the message (it’s actually not a lot) and they drop the attachments.  We worked on this until we could capture the entire message.

3) The Gadget now remembers your last ownership selection.  Typically you now select the workgroup option once and all the new contacts will default to the same value for you.

To ensure you are using the latest version of the Gadget you may need to clear your browser’s file cache.

Troubleshooting tips for existing clients to force the gadget code to update and ensure configuration is ideal

-> Clear the browser’s file cache and restart it before logging back into your Solve360 and Google Apps accounts

-> Check to see if you can see your Gmail messages in the Inbox folder in Webmail.  Otherwise, follow Workspace > Access Webmail and ensure that Google is selected as your service provider under the ‘Sending’ and ‘Receiving’ sub-tabs and no username is entered (so it will use the automatic Google Apps settings).

-> Check to see that your Gmail gadget is authorized to your Solve360 account. Easy way to check is to verify that your Google Apps Username is the same as your Solve360 one. If they aren’t, you might need to re-authorize the gadget. In your Solve360 account, follow Workspace > My Account > Authorized Websites and click on the [x] beside Gmail Gadget. Now ensure your are signed in to the correct Google Apps account and re-authorize your gadget. Clear your browser cache and restart the browser.

-> If you are an older Google Apps user (as in having used it for a while, not the grey hair kind), check that you have granted Solve360 Data Access in your Google Apps Account. In your Google Apps Dashboard, under Manage Domain Settings, check under Service settings > Solve360 > Data Access to verify that permission has been granted to Solve360. You can also make the update here to grant permission otherwise.

Fantastic edition to an already stellar gadget.

Our Google Apps customers consistently say that the Solve360 gadget is one of the primary things that sways them. It’s this type of tight integration that makes Solve stand out.

Again, congrats on a really nice update!

HI Steve, i have cleared my cache but the first and last name is not imported!  Any suggestions?

When you open the message do you see a yellow status bar in the gadget with “Checking Solve360…”.  That would indicate you have the latest version.

If you do, please confirm the sender specified a first and last name in the message.  If so, does it happen to all messages.

Yes i am seeing this but the name is not imported as you suggested just the email address.

It’s working as expected here and with other clients so if you’re using the standard name fields and it happens consistently with other messages you can reach our to our team so they can review it with you.

I like this. Thank you. However, I would like to be able to archive to a project that the contact is related to. So that you can filter messages to the project, without seeing ALL their correspondence emails when viewed in a project.  Overtime, it would be hard to find project specific emails.

Or, maybe there is a way to further link an email to a specific project?

I know I can forward….

@digitalcore Once the message is “Archived” to the workgroup folder the project blog will link to the message based on criteria you set in the project blog’s “linked-emails activity”.

But if I just “Archive” it, it would not include the Project Name. So how would it go into the project blog?
I’m not talking about selecting “Related Activities” because that pulls all the history of every contact/company etc.

Its more like Forwarding and putting the Project Name in the forward body or subject line.

I hope this make sense.

If the message does not have any pattern to link on it won’t show on the blog.  In that case you may need to add the code and forward.  You can also add additional criteria e.g. email address / special text etc in the linked-email activity.

So can I add a feature request to “Archive to Project” then select the project? I guess in the background its just fowarding it with the “project name” that is selected.

Excellent feature, tanks for that.
Anyway what is the need to archive the email in Gmail. I don’t like to no longer see it in my inbox once posted to Solve.
Maybe I’missing something.

The email is still in your “All mail”.  Removing it from your inbox is an indication that it’s dealt with / in the CRM.  If it didn’t do that you most likely would not know you previously did it.

You may be interested in the “Linking” feature we recently announced which keeps the message in the inbox

I just tried this for the first time. I notice that when I choose “Archive” the button goes away. However, if I go back to the message later the Archive button is back. Is this right?

When you press the “Archive” button the “inbox” label will be removed from the email, a copy will be sent to Solve360 and attached to the record. If you go into Gmail’s “All Mail” the original will still be there and the button will too. If the email is still appearing in your inbox just try refreshing the page and it should disappear.

Hi,
I’m evaluating Solve360 at the moment and am trying to get the archive message function to work - the gadget seems to be installed fine, I can create contacts from the mail message, but if I click ‘archive’ it takes away the button, but nothing is copied to Solve360.
Any ideas?

As a first step, ensure that there is a ‘View For Linked Email’ activity on the contact record. If not, you can add one under ‘Add an Activity’. You can verify if an email was indeed archived by checking the workgroup folder in Webmail.
