What’s the theory behind all team members being able to see stars that just one member highlights?
We were thinking of using this feature to keep active contacts at the top(s) of our respective lists, but . . . .
The stars are great to use for this. There are many times when I need to call someone multiple times re myriad details and using the star and then sorting by that column is a good gimmick.
But this doesn’t work if we are all seeing each others stars. Even being able to use different colors would work.
Or back to the top of this, you can explain the theory and we might be able to adapt.

The star is provided to indicate that the item is important, or you want it to stand out for some agreed upon reason. It’s an alternate way to quickly / temporarily group contacts e.g. if you were paging through lists to add many contacts to a category, delete, export a list etc. It’s really up to you and your team.
When considering security it’s important to keep things simple. So in this case if the contact is shared, all the information related to it is also shared including, it’s flagged/starred status. And if private, then you guessed it. That way there is no confusion as to what people can / cannot see and do.
If you want to remember to do something for a contact you should create an event or task as these items will show up in your next action list (al a to do), calendar and history etc.
There are a couple of ways to keep active contacts at the “top of your list” e.g. one way is to use the assigned-to contact field. When you choose this option from the filter each user will see the contacts that are specifically assigned-to them. You could do similar things by using a variety of categories, field searches etc too.

Customizing form fields:
Love the little red/green buttons that allow us to choose which fields show in list form.
Took some effort to insert a text field above the “assigned to” field.
It wanted to go at the end of the left side instead of top on the right. We finally did prevail but took some doing. Might this get easier?

Inevitably as browsers improve the handling of drag ‘n drop functions will get better. Remember, it’s a web page <g>.

First off, we are beginning to use the Activities section and it seems to work well. Thanks so much.
I have, however, been queueing up some tasks and it took awhile for me to figure out why there weren’t showing in my Activities section.
As I understand it, the present system requires that we create a title for the task list and then enter a task as a separate item.
One must enter the Title AND the task in order for the task to show in my “next actions”.
Am I using the right function? If so, is there a shortcut so that I don’t have to create two items for one-off tasks?

Yes, tasks are grouped under a “Tasklist” parent, they get special features along with relationship as well e.g. grouping, sorting. We’ve considered the idea of also adding independent tasks, similar to events, it wouldn’t be difficult, but we wanted more time to explore the tradeoffs and get feedback from users before deciding. I presume you’re +1 on this already?
BTW we introduced a minor bug this morning related to showing the task’s form properly. It should be fixed-up tomorrow.

You are SO fast with these replies.
Just to be a bit clearer - I really DO like the concept of creating a list under one title. It works well for that.
The one-off task is a bit cumbersome, and what you propose sounds good but it might also seem confusing.
Is there anyway to change the “Title” to a “Title/Task” and have it show in the next actions? Would that make sense?
If need be the current situation will works - but as I said before, it took awhile to figure out on my own.
I am loving this app! It is now such fun.

Perhaps if a tasklist has no tasks, it “becomes” the task.

On another note we love the flexibility of your form fields. For instance we have an “other phone” field in which we enter 10 digits, then <tab> to format and then enter text that describes the number, ie.
(714)555-5500 Weekend Retreat
Very cool. Sounds insignificant, but no other system (that we know) can do this. Whoo Hoo!

Just wondering if this can be done:
I am editing a bunch of contacts, all of which are listed in the left hand navigation pane. I would like to open and edit each contact on the list, but have to click on each one to open it.
Can it be possible to just arrow down that list instead?

Not currently, but perhaps when we sweep through the system and assign short-cut keys to common functions. Thanks for the tip.

All in all, everything is going really well.
Is there a way to refresh without re-launching the app? We need to refresh often and the F5 key relaunches and returns us to Activities, so we have to invoke a filter, etc. to get back to our work.
Also, will we always need to switch back and forth between contacts and companies to search, or will that functionality be combined at some point?

That’s great to hear.
What item/window are you needing to refresh? There is a Refresh button on the Contact and Blog forms that will reload the content related to that item (fields and activities). If that doesn’t do it maybe there is another issue we need to look into.
Yes we are thinking about that but there are some challenges to work through e.g. when displaying in horizontal view the fields are different etc.

Yikes! I just tried to link some emails to a company record and got 5 pages of them. I think it attached my entire drop box, but I only want to attach those that actually have something to do with the contacts from this company.
From the company record I used activities/linked e-mail.

Check the company name and website fields. This is what the dropbox is linking to. No harm in linking to everything, you just need to verify these values are specific / broad enough to catch the messages you expect.

Hmm. The e-mails are linking a little too well to Company records.
This time around the company name is Hager Pacific Properties
I looked through a few of the linked messages but couldn’t find any of those words in a couple.
Do you think its linking to just one word, ie. Pacific?
If so, that linking needs to be tightened up or is there another way to be more precise in linking to companies?

Yes it looks like it is having a time with the company name value. I’ll have another Engineer take a look at this tomorrow. Is there a website / domain name you can try in the website field?
