This is my first post to the forum so I’d like to start by saying that this is the best forum I have come across - really helpful support from other members as well as the guys (and girls?) from tech support.

I love the new email templates as these are something that we use as an integral part of our work practice. There are two things that would make them even better:
1. If you could add fields (ie first name) the same as you can with emails to group recipients.
2. If the subject line saved to the template, as well as the body of the email.

Keep up the great work. Really looking forward to a happy future with Solve.

Hi Vickie, Welcome and thanks for the kind words!

It’s great to hear you’re finding the new email templates useful.  Regarding your suggestions:

1) It’s difficult to manage form fields here because there is no hard link to a particular contact (actually the message could be addressed to many different contacts).

2) This is something I think we’ll need to look at.  The reason it works the way it does now is so you can use the template for a new message (no subject) and when replying to an incoming message (where the subject should be preserved), maybe we could insert the subject only when the field is empty - your thoughts?

1) In a majority of cases, we are responding to one person, so I don’t think it would be too bad to “link” back to the first person listed as “To”.  We can always overwrite/type what we want for cases that the correct name isn’t displayed.  It would be a nice touch.

2) I like Engineering’s suggestion.  If there is something in subject line, then do not update.  If blank, insert saved subject line.

I’d like to add a third:

3) Public Templates and Private Templates.  I would like to have template e-mails I tend to use not clutter other users, and vise-versa.  Then there are “public” templates that would be helpful to have for everyone.  Others might disagree, but I would rather create private templates for all my users (replicating several) than have everyone’s template show for everyone.  We currently have over 150 templates in our existing systems across our 10 users.  (I have not replicated on Solve360, since that would be difficult to manage). 

If for some reason this is not feasible, then I would suggest folders, where we could create our own folders to categorize templates.

Thanks for the fast reply - once again great service.

Like Jonathan, in the majority of cases we only send emails to one contact at a time. The ability to have the template set up with [First Name], [Meeting Date] or whatever fields are required would certainly make our lives much easier. It’s a feature we’ve been used to having so it’s one we’re missing.

I like the idea of the email subject line being inserted when the field is left blank - I think that would cover most people’s needs.

I also like Jonathan’s suggestion of Public & Private Templates. We too have numerous templates in our old system and have been wondering how to handle them all in Solve without it becoming too messy.

Regarding variables in the templates, these are already available in schedule emails.  Maybe allow access to email templates in scheduled emails, then set the email for no delay?

Along that line, since scheduled emails are activities each one could be saved as a “activity template” now.

Hi folks,

I agree that the ability to use an email template when sending an immediate email to a single contact would be extremely helpful.  The email templates work fine for scheduled emails, but we often need to send an immediate email to a contact, and I want to use a template for that.  A template where it inserts first name, etc. 

It seems that when emailing a single contact, you can already insert a template, but the substitution tags are broken.  Is there a way to do this?

Just to clarify there are currently two types of templates—“activity templates” (which can include any activity including a scheduled email) and “email templates”. 

Field substitution is supported in Scheduled Emails and emails sent via the “Group recipients” feature available from within the Webmail feature.  Email templates do not support field substitution—in the context they are available there is no guarantee what values the fields should be substituted with.

You can set a scheduled email to essentially be sent “as soon as possible” by setting the date/time to <= now.
